Apollo OS and other recipients

Taster booking and the customer portal are provided through Apollo OS on app.apollomusicschool.org. Moving there opens a separate, secured system. We only share information with providers that help operate the school—such as hosting, communications and payments—or where the law requires it. We do not sell personal information.

How long we keep it

  • Unconverted enquiries: normally up to 12 months after last contact.
  • Customer, contract and accounting records: normally for the relationship and up to six years afterwards where needed for legal or accounting purposes.
  • Technical security logs: normally up to 90 days, unless needed to investigate an incident.
  • Safeguarding records: for the period required by applicable safeguarding guidance and our retention procedure.

We may keep information longer where a legal claim, safeguarding need or other legal duty requires it.

Your rights

You may have rights to access, correct, erase or restrict your information, object to certain uses, and receive information in a portable format. Where we rely on consent, you can withdraw it. Contact us to exercise a right. You can also complain to the UK Information Commissioner's Office at ico.org.uk.

Children's information and security

Where a learner is a child, we may collect information from a parent or guardian and use age-appropriate explanations. We use access controls, encrypted connections and separation between this public website and Apollo OS to reduce risk. Please do not send sensitive information through ordinary email unless we ask you to.
